Quick Guide: What are Workspaces and how do they work?

At Cincel, collaboration and the efficient management of your processes are paramount. With the new update, we have introduced Workspaces, a new way to organize your account to give you more centralized and flexible control over your teams, users, and credits.

 

This guide explains what Workspaces are, what their benefits are, and how they work within the platform.

 


What is a Workspace?

A Workspace is the primary container for your organization in Cincel. It functions as an administration hub from which you can manage multiple teams, control user access, and manage your plan and credits in a centralized way.

The new organizational structure in Cincel is as follows:

  • Workspace > Teams > Folders > Documents

Each Workspace is associated with a single billing account, meaning that the contracted plan and the purchased credits belong to the Workspace and can be used by all teams that are part of it.

 


Key Benefits of Workspaces

Implementing Workspaces in your organization offers fundamental advantages:

  • Centralized Administration: As a Manager, you have visibility and total control over the information, documents, and users of all teams within your Workspace.
  • Simplified Credit Consumption: Forget about transferring credits between teams. Now, all teams within a Workspace share a single credit pool (documents, liveness checks, etc.), which simplifies management and ensures resources are always available where needed.
  • Permission Management: Main permissions are managed at the Workspace level, allowing you to more efficiently control who has access to what information and functionalities, while teams maintain their roles as they have until now.

 



How do Workspaces work?

To understand how they work, consider the following key points:

  • Structure and Membership: All users and teams must belong to a Workspace. A user can be a member of one or more teams within the same space.
  • Team and User Management: From the Workspace settings, you can create, delete, or disable teams. Disabling a team prevents credits from being consumed for documents belonging to that team. You can also manage users by removing them from teams or from your Workspace.
  • Custom Configuration: Each Workspace allows you to customize elements to align communication with your company's identity.
  • Availability: Workspace functionality is available for all accounts with a paid plan (Business, Business Pro, Enterprise). Free accounts will continue to operate under team use only.

 

❗️Important: Changes to current operation

To facilitate the transition, Cincel will make the following adjustments to existing accounts:

  • Grouping process: We will present the teams for which you are the sole administrator to approve their grouping, including all their content: folders, documents, directory, and members, within a new Workspace.
  • Team Centralization: Teams that were previously individual will now become part of the Workspace's Team structure, maintaining their content and users.

With this new structure, the management of your agreements becomes more organized, scalable, and secure.
