Quick Guide: Position Signature Fields in your Documents
Positioning signature fields in your documents is a crucial function that provides clarity and guidance to your signers, eliminating any ambiguity about where their signature will be placed. By indicating the exact location of each signature or date, you ensure a faster and more professional process.
Step 1: Activate Editing Mode
After uploading your document and adding the signers, you will see the file preview on the right side of the screen. To start positioning the fields, click on the signature icon [We require the icon here, I tried to download it, but without success] located in the vertical toolbar next to the document.
Step 2: Select the Signer
A menu will display the list of all signers. Simply click on the name of the signer for whom you wish to position a signature field.
Step 3: Position the Automatic Signature Field
Immediately after selecting the signer, a Signature box (with its assigned color) will appear on the document.
- Use your mouse to drag this box over the document and place it exactly where the signature should go.
- Adjust the size by clicking on its corners to modify its dimensions so it fits perfectly in the designated space.
- If you make a mistake, simply click on the field and press the Trash icon 🗑️ to delete it.
Step 4: Adjust and repeat for All Signers
- Repeat the process: Go back to Step 2, select the next signer from the dropdown menu, and repeat the process until all fields for all parties are positioned. You can position multiple fields per signer.
Types of fields available for your Document
You can add different fields to your document before sending it.
- Signature: The main box where the signature will be stamped (either a handwritten signature or e.firma information).
- Comments: Inserts a simple text field. It is ideal for placing short instructions for the signer (e.g., "Initials here", "Enter folio") or for adding information to your document.
- Date: Inserts the date of your choice in this field, ensuring an accurate and verifiable record.
Why is positioning fields important?
- Absolute clarity: avoids signatures in incorrect places and facilitates the process for your signers.
- Better experience: automatically indicates to the signers each field that belongs to them.
- Reinforced validity: ensures that all required sections are signed, strengthening the agreement.
Professional tips for a flawless document
- One field per space: Make sure that each signature line in your original document has its corresponding digital field.
- Use the Cincel date field: The Cincel date field is verifiable metadata that is directly associated with the document's Audit Trail.
- Final Review: Before clicking "Send", go through the document one last time. Select each signer from the dropdown menu to visually confirm that all their fields are present and in the correct place.
💡Cincel Tip: In multi-page contracts, place an initials field at the bottom of each page for each signer. This creates solid evidence that every page was reviewed and accepted.
