Quick Guide: How to Send a Signature Reminder

This feature is ideal for providing friendly follow-up to signers who may have forgotten the request or whose email may have been misplaced.

 


Who can send reminders?

Only the document's original creator or owner has the authority to send signature reminders. This centralizes communication and prevents signers from receiving multiple notifications.

 



Steps to send a Signature Reminder

  1. Locate the document. Go to the folder where the document pending signature is located.
  2. Open the document. Click on it to access the management view.
  3. Send the reminder. In the signers' status panel, look for the person listed as 'Pending'. Next to their name, click on the “Send reminder” button.

And that's it! The signer will receive a new email notification, inviting them to complete the signing process with a direct link to the document.

 


Key Considerations:

  • Patience and strategy: Use reminders strategically. If a signer does not respond, it is good practice to confirm via another medium (a call or message) that they received the email and have no questions regarding the document.
  • Check the Spam folder: Before sending a reminder, you can suggest that your signer check their "Spam" or "Junk" folder. Sometimes, notification emails can be filtered. If that is the case, ask them to mark the email as safe.
  • Signers cannot cancel: Remember that a signer cannot cancel the process, but they can choose not to sign. The reminder is a tool to facilitate completion, not to force a decision.
  • Delete contracts with errors: As a best practice, delete those documents or contracts with errors. This will stop them from appearing on the platform as partially signed documents, thus avoiding errors when sending reminders for documents where it has been agreed not to sign.
