Cincel Glossary

At Cincel, we strive to provide you with an intuitive and easy-to-use platform. To help you navigate and better understand our features, we have compiled a glossary of the key terms you will encounter in your day-to-day operations.


This glossary will serve as a quick reference to understand the structure, tools, and concepts offered by Cincel, allowing you to get the most out of our digital signature suite.

 



Glossary of Features and the CINCEL Platform

 

Administrator (Team Role)

It is the user role with the highest level of permissions within a Team. An Admin can manage team settings, create and delete Folders and documents, and invite or remove other users, as well as assign them roles. This role is crucial for full supervision and total control of signing operations.

Custom Branding

Feature that allows companies to adapt the Cincel interface and communications with their own visual identity, including the logo and primary color.

Dashboard

It is the main user interface in Cincel, designed to provide an overview and quick access to the key features of the platform, such as creating documents, monitoring their status, and managing teams.

A temporary storage space where documents that have been deleted from active folders are sent before permanent deletion.

Delete Document

It is the final and irreversible action that permanently deletes a document from Cincel, from both active folders and the Trash.

Delete User from Workspace

The action of permanently removing a user from your Workspace. Upon performing this action, the user will be automatically removed from all Teams they belonged to.

Document Creator

It is the Cincel user who initiates and manages the lifecycle of a document to be signed. They are responsible for uploading the file, configuring parameters, adding signers and observers, and monitoring progress until completion.

Service units available in your plan, used primarily for certified documents (Smart) and Life Proofs. Every time you use one of these features, a credit is deducted from your balance.

Document Status

Indicates the current stage or situation of a document's process. The main statuses are "Signed," "Unsigned," and "Partially Signed."

Feature that allows establishing a sequential signing order. It allows grouping signers into different phases, ensuring one is completed before the next one is activated.

Document Validity Date Post-Signing

Established date indicating until when the content of a fully signed document is valid. As this date approaches, Cincel can trigger an alert to prompt its renewal.

Download Package

It is a ZIP file that Cincel generates at the end of the signing process. It contains the signed PDF, the Audit Trail, and all legal validity certificates, such as the NOM-151 Certificate.

Any person involved in the lifecycle of a document in Cincel. This category includes the Creator, Signers, Observers, and Reviewers.

Editor (Team Role)

Team-level user role that has the ability to use all signing features, including creating, uploading, and sending documents. They are directly responsible for the signing processes within their team.

Email Notifications

Informational messages that Cincel sends to the registered email address of the user or signer, often with secure links to access the platform.

Inbox

It is the main section in Cincel where all your documents are viewed and managed. It functions as a control center where you can see at a glance the status of your signature requests, pending documents, completed ones, and those requiring your attention.

Term used to refer to documents that have been uploaded to the Cincel platform and are in a signing process. Every time you start a new signing process, a unique c.Doc is generated, representing the complete lifecycle of the agreement.

Fully Signed Document

It is a document where all participants (signers and/or reviewers) have successfully completed their actions. Upon reaching this status, the sealing and certification process is automatically triggered, guaranteeing its legal validity.

In-App Notifications

Interactive notices and messages that are displayed directly within the Cincel interface while you use the platform.

Incomplete Document

It is a sent document in which at least one of the participants has not yet completed the required action (signing or reviewing). It indicates that the formalization process is ongoing.

Integrations

These are the connections Cincel offers to collaborate with other applications you already use (CRM, ERP, cloud storage). They allow for process optimization and the elimination of repetitive manual tasks.

Log in

Recurring process through which you access your Cincel account once you have already registered, using your credentials.

Manager (Workspace Role)

High-level role assigned by the Owner to assist in Workspace administration. They can manage teams, users, and content at a general level, facilitating the delegation of tasks.

Member (Workspace Member)

General membership role in a Workspace. A Member can be part of one or several teams, but their permissions are limited to the roles they hold in those teams.

Navigation bar located on the left side of the interface. It contains quick access to the main sections of the platform, such as Inbox and Teams.

Move Document to Trash

Action that allows moving a document from its current location to the Trash. This process hides the document from the main view without deleting it permanently.

Fundamental work unit within a Workspace. It is designed to organize activities and documents, allowing the management of multiple projects or departments. Folders are stored within each Team, and its members have specific Roles.

My Pending Documents

Section that groups the documents in which you are a participant and have some pending action, such as signing, reviewing, or approving.

Messages or alerts generated by Cincel to inform you about important updates to your documents, the status of processes, or required actions.

Owner (Workspace)


It is the user whose account is linked to the creation of the Workspace, granting them the highest level of control and management over all configuration, members, and teams.

Participant (Observer)

A participant with read-only access to view the progress and content of a document during its signing process, without being able to interact to sign.

It is the personal section of your account where you can manage and update your user information, such as name, position, contact information, and image.

These are the specific capabilities and actions that a user can perform within the platform, directly linked to their assigned role.

Participant (Signer)

Any individual or entity invited to record their consent on a document digitally. They do not need to have a Cincel account to sign.

Plan Downgrade 

It is the process of changing your current subscription to a lower-level plan (e.g., from Start Plan to Free Plan). This option may be considered if your signing needs decrease. It involves the possible loss of access to advanced features and a reduction in the number of available documents and storage.

Plan Upgrade

Process of changing your current subscription to a higher-level plan to access more documents, features, or storage.

Proof-of-Life

Advanced biometric identity verification method that confirms the signer is who they claim to be in real-time, analyzing facial features and movements to prevent spoofing.

Security Code (Log in)

A temporary, one-time code that Cincel sends to your email to verify your identity during login. This additional security step helps protect your account against unauthorized access.

Sent Documents

Refers to all the documents that a user has created and sent to be signed, which are in an active process awaiting action from the signers.

Settings

It is the area of the platform where users, depending on their permissions, can manage settings for their personal account, profile, teams, and Workspace. From here, they can modify data, invite users, and configure brand customization.

Sign up

The initial process for creating a new account on the Cincel platform, linked to an email that will serve as a unique identifier.

Feature that allows recovering a document that has been sent to the Trash and returning it to its original folder, making it visible again to the entire team.

A participant whose approval action is required before the document is sent to the signers. Their role is crucial for workflows that need internal validation.

Signature Fields

These are interactive markers added to a document to indicate the specific places where each signer must place their electronic signature. These fields can be dragged and resized, simplifying the signer's experience and ensuring the document is completed in an orderly manner.

These are digital containers used to organize and classify your electronic documents within a Team. They allow grouping documents by project, type, or date. There is no limit to the number of folders you can create or the documents you can save in each one.

It is your comprehensive resource library. Here you will find articles, quick guides, tutorials, and frequently asked questions designed to resolve your doubts and facilitate the use of the platform, from setting up your account to managing documents.

Signed Documents

Record of recent documents in which you participated as a signer and whose process has been completed by all parties. The final document and its backups are stored here for download.

Signer Directory

A Cincel tool that allows you to save and manage contact information for frequent signers. It improves efficiency in document preparation and reduces the risk of errors when inviting the correct participants.

Signing Deadline

A deadline that the creator can set for signers to complete their actions. If the deadline is met and the document is still incomplete, it will automatically be moved to the trash.

Subscription Plans (Free, Start, Business Pro, Enterprise)

These are the different service levels Cincel offers, each designed for different needs and varying in the number of credits, storage, and access to advanced features.

Support Ticket

A formal request you generate to receive personalized assistance from the Cincel technical team when you encounter a problem or have a question that is not resolved in the Help Center.

Process to confirm the authenticity, integrity, and legal validity of a document certified by Cincel, accessible through audit.cincel.digital.

Teams (Button)

Button located in the Sidebar that allows you to access the section where you can manage your different teams or work areas within your account.

User Roles

Predefined classification that determines the level of access and permitted actions for members within a team or Workspace. Cincel offers roles such as Admin, Editor, and Viewer.

Viewer (Team Role)

Team-level user role with read-only permissions. Their main function is to view the processes and content within the team, without being able to modify, create, or manage.

Workspace

It is the highest hierarchical level in Cincel, designed to represent your entire organization. Within a Workspace, multiple teams are grouped, and the management of users and resources is centralized.

 


Glossary of Important Concepts


Algorithm

Defined set of computational instructions or rules that the Cincel platform follows to perform specific tasks such as data encryption, signature generation, and identity verification.

API (Application Programming Interface)

Set of protocols that allows different software systems to communicate with each other. The Cincel API allows you to integrate digital signature capabilities directly into your business applications (CRM, ERP).

Blockchain

Distributed and decentralized ledger technology. Once data is recorded on the blockchain, it becomes immutable and publicly verifiable. Cincel uses it to generate unalterable timestamps, adding a robust layer of security.

Data Message Retention Certificate (NOM-151)

Digital certificate issued by an authorized Certification Service Provider (PSC). It grants "Certain Date" and a presumption of integrity to an electronic document, ensuring its legal validity in Mexico.

Formerly known as FIEL, it is the most secure digital identification mechanism with the highest legal validity in Mexico, issued by the SAT. It constitutes a legal substitute for the handwritten signature.

Crucial requirement, requested by authorities such as the SAT, which verifies the existence of a document at a specific point in time. Cincel guarantees it through the NOM-151 Retention Certificate.

An expression of consent or identity authentication. In the digital environment, it is a set of data associated with a document to identify the author and manifest their agreement, with full legal validity in Mexico.

Digital Certificate

Electronic document that acts as an identity credential in the digital environment. In Cincel, it is used in e.firma, the NOM-151 Certificate, the Blockchain Certificate, and the Audit Trail to guarantee authenticity and integrity.

Digital Signature (Handwritten)

Electronic representation of a handwritten signature, created by drawing a graph on a digital device. It is a form of Simple Electronic Signature, legally valid in Mexico.

Digital Signature (By Name)

Electronic representation of a signature in typographic form (typing the name with the keyboard) to record consent. It is also a form of Simple Electronic Signature, legally valid.

Digital Timestamp (Timestamp)

Mechanism that records the existence of digital data at an exact date and time, certifying that it has not been altered since then. It is crucial for establishing the chronology of events in a document.

Cryptographic algorithm (Secure Hash Algorithm 256) that generates a unique and irreversible "digital fingerprint" of a file. Cincel uses it to verify the integrity of your documents, guaranteeing that they have not been altered.

Geolocation

Security function that records the geographical location of the signer at the time of signing. This data is integrated into the Audit Trail, providing additional evidence of the circumstances of the signature.

Hash Function

Cryptographic algorithm that transforms any data into a fixed-length string ("hash"). It is irreversible and unique, essential for verifying the integrity of a document.

KYC / Identity Verification

Advanced security process to confirm the identity of a signer. It consists of a life proof and the comparison of a selfie with a valid official ID, using biometrics to prevent spoofing.

Official Mexican Standard that establishes the requirements for the retention of data messages. Its objective is to grant a presumption of integrity and evidentiary value to electronic documents.

Entity accredited by the Ministry of Economy of Mexico to issue digital certificates, NOM-151 Retention Certificates, and timestamps, providing legal certainty to electronic transactions.

Smart Certificate

Cincel's premium certification solution, designed to offer maximum legal validity. It integrates a NOM-151 Retention Certificate, blockchain notarization, and a detailed Audit Trail.
